Art of Hosting

Purpose

The Art of Hosting (AoH) is not a single method but a practice framework for hosting conversations that matter. It draws on World Café, Open Space Technology, Circle Practice, Appreciative Inquiry, and storytelling as a toolkit, and adds a meta-layer: the art of being a host rather than a hero leader. AoH trains practitioners to design participatory processes, harvest collective wisdom, and steward the outcomes into action.

How to run

1. Calling (10 min). Articulate the question or purpose that calls people together. A powerful question is the heart of AoH.
2. Check-in circle (10 min). Each person shares briefly: What brings you here? What are you curious about?
3. Choose the method (varies). Based on the purpose, select the right conversational format:

• Divergent (generating ideas): World Café, Open Space
• Emergent (sensing patterns): Circle, Bohm Dialogue
• Convergent (deciding, committing): Pro-Action Café, Consent

1. Host the conversation (40 min). Run the chosen method. The host holds the space, tends the energy, and trusts the process.
2. Harvest (15 min). Capture the essence of what emerged. Use graphic recording, key quotes, or a shared document. Harvesting is not minutes-taking — it is distilling meaning.
3. Action and stewardship (15 min). What wants to happen next? Who will steward the outcomes? How will we stay connected?

Materials needed

• Depends on the chosen method (flip charts, markers, café tables, circle chairs, etc.)
• Powerful question printed large
• Harvesting tools (graphic template, shared doc, camera)
• Hosting team coordination plan

Pitfalls & common mistakes

• Over-designing. AoH values emergence. Too rigid a plan kills the participatory spirit.
• Hosting without practicing. AoH is a practice — you improve by doing, reflecting, and doing again. Reading about it is not enough.
• No harvesting. Without harvesting, beautiful conversations evaporate. Make harvesting a deliberate role.
• Solo hosting. AoH works best with a hosting team. Hosting alone leads to burnout and blind spots.

Inclusion & accessibility

• AoH's method diversity means you can choose formats that fit different needs.
• Circle practices equalize power; café conversations allow informal interaction.
• Assign a "guardian" to watch for people at the edges who are not participating.
• Offer multiple participation modes: speaking, writing, drawing, moving.

Variations

• Art of Hosting training: 2–4 day immersive for practitioners, combining theory, practice, and personal development.
• Art of Participatory Leadership (AoPL): Focused on organizational leaders, adding strategy and systems thinking.
• Micro-hosting: Apply AoH principles to a single 30-minute team conversation.

When NOT to use this

• When the decision is already made and participation would be theater.
• When there is no time to harvest and steward outcomes — conversations without follow-through breed cynicism.
• When the host has no experience with participatory methods — start with simpler formats first.
