Shift and Share

Purpose

Shift and Share spreads innovations, practices, and local knowledge rapidly across a group by having multiple presenters share simultaneously at stations while the audience rotates. It replaces serial presentations with parallel, intimate exchanges. Use it when several people or teams have something worth sharing and you want everyone to hear from multiple sources in a short time.

How to run

  1. Setup (5 min): Arrange 3–6 stations around the room. Each presenter sets up at their station with visuals or props.
  2. Round 1 (7 min): Audience divides into groups, one per station. Presenter shares (4 min), then Q&A (3 min).
  3. Shift (1 min): Groups rotate to the next station.
  4. Rounds 2–4 (7 min each): Repeat until all groups have visited all stations (or as many as time allows).
  5. Whole-group debrief (3 min): What patterns or surprises emerged across stations?

Materials needed

  • Station signs or numbers
  • Flip charts, posters, or laptops at each station
  • Bell or timer for shifts
  • Open floor plan

Pitfalls & common mistakes

  • Presenters running over time — enforce strict shifts with a loud bell.
  • Too many stations with too little audience — each station needs at least 3–4 listeners for energy.
  • Presenters using slides instead of conversation — encourage interactive, story-driven sharing.

Inclusion & accessibility

  • Ensure stations are wheelchair accessible with adequate space.
  • Provide printed takeaways or QR codes to handouts so participants don't need to take frantic notes.
  • For hearing-impaired participants, position them close to presenters; consider sign-language support.

Variations

  • Poster Shift and Share: Presenters create visual posters; the format becomes a guided poster walk.
  • Digital Shift and Share: In remote settings, use rotating breakout rooms with screen-sharing.
  • Speed sharing: Reduce to 3-min presentations with 1-min shifts for a fast-paced version.

When NOT to use this

Avoid Shift and Share when the content requires sustained, deep engagement — the format favours breadth over depth. Also not suitable when only one person has something to present.
